- Go to Quotes and press New.
- Pick the client and the property address (it starts on their primary address). Not in the list yet? New client at the bottom of the picker (or Add "<name>" as a new client once you've typed a name) opens a small sheet — first name, last name, phone, email — and Add client puts them straight on it.
- Give it a title, then add line items. Pick services from your price book, or type a description, quantity and unit price and press Add line item.
- Optional: set tax, a discount (% or $), a deposit, a Client message, Terms, and a Valid until date. Internal notes are never shown to the client.
- Press Save quote. It saves as a Draft.
- Press Send to client (it reads Email to client until texting is on). The client gets a link to view, sign and approve it. Quotes go by email: Email is ticked for you, and when the client has a phone that takes texts a Text row is there to tick as well — it goes from your business line, and it is never ticked for you. A client with only a phone number still gets the sheet, so a quote is never texted unless you choose it. The status moves to Awaiting Response. Not ready to send yet? Tick Send later in that sheet and pick a day and time: the quote stays a draft you can keep editing (its chip reads Scheduled), goes out by itself at that time, and you get a notification either way. Until then the quote page shows Send now and Cancel.
Other ways to send it
- Copy client link in the ⋯ menu gives you the approval link to paste anywhere.
- Download PDF saves a printable copy.
- Mark as sent (no email) changes the status only. Use it when you handed the quote over in person.
- A Draft you sent by link marks itself: the moment the client opens it, the quote moves to Awaiting Response just as if you had pressed Send (your own preview doesn't count).
- Quotes are never texted on their own, because carriers treat quote texts as marketing. Email or the link are the usual ways; texting one is a box you tick yourself in the send sheet.
If something's not working
I pressed Send to client and got "Email isn't set up on this server yet."
Emails to clients switch on once your business is approved for payments (see Activate your account). Until then, use Copy client link and send the link yourself.
The button says Mark as sent instead of Send to client.
The client has no email address on file and no phone that can be texted. Add one on their client page, or copy the link and send it another way.
I left a quote and it asked "Send this quote first?"
The quote is still a Draft nobody has sent. Stay keeps you on it; Leave without sending lets you go and the draft waits. Send it, press Mark as sent if you delivered it another way, or just let the client open the link you sent them, and the question stops.
I can't edit my quote.
Quotes can be edited while they're Draft, Awaiting Response or Changes Requested. Once approved or converted they're locked, so the client's signature always matches what they signed. Use Duplicate quote to start a new version.
